General information

METANANO is annual international conference where the latest research in the field of metamaterials, nanophotonics, terahertz radiation and optical engineering is presented. The conference is organized by the Nanophotonics and Metamaterials Department (metalab.ifmo.ru) of the ITMO University and Far Eastern Federal University and is supported by Mediterranean Institute of Fundamental Physics and Russian Science Foundation. The conference will take place in Vladivostok, which is included into National Geographic Top 10 oceanfront cities with glittering seascapes. Vladivostok is the Russian window to the Far East and the terminus of the famed Trans-Siberian Railway. Here visitors can meet a small Europe in Asia, see the longest bridges in Russia while walking along Golden Horn Bay, swim in the blue water of Sea of Japan and enjoy genial subtropical climate.

Proceedings publication

All submitted papers (2-4 pages in length) will be reviewed by at least two independent reviewers. The reviewers are encouraged to give constructive comments and suggestions to the authors. After the Technical Program Committee will make the decision, the authors will receive the review comments and recommendations. The authors of accepted papers will have a possibility to make updates of their papers based on the review comments and suggestions. The final versions of the Conference Proceedings will be published in AIP Conference Proceedings and indexed in Scopus and WOS. The following downloadable packages contain the AIP Conference Proceedings templates together with the License to Publish Agreement and other additional documents you may need. They also contain detailed advice on preparing your paper, including examples showing how to prepare and style references. Note that Invited, Keynote and Plenary speakers may send a short abstract only (up to 250 words).

These are standard AIP templates. Please note that we ask all authors to prepare their article in single-column format only.

Special Issue

A special issue will be organised in "Photonics and Nanostructures - Fundamentals and Applications" for publication of selected papers related to conference presentations. Submission deadlines and specific guidelines will be announced closer to date.

Submission of conference papers

Please use Microsoft word or LaTeX templates. Paper length should be 2-4 pages.

Conference Format

All contributions will be reviewed for technical merit and content on the basis of the conference papers submitted by the authors.

Language

All contributions should be presented in English that is the official language of the Conference. No simultaneous translation services will be provided.

Registration to the conference

The Congress organizers will provide a few grants for students and researchers. The Congress registration fees will be waived for grant recipients. The grantee selection will be based on the scientific merits of the applicant's submitted paper(s). To apply for the grant, it is necessary to upload his/her CV by June 15th, 2017. Notifications will be sent by June 25th, 2017. The grant cover/endorsement letter should contain a brief justification of your needs of the financial support. Grantees will be required to declare in written how their grant will be used.

Scientific Workshop

Based onto successfully finished Conference in Vladivostok there will be organised Scientific Workshop on Metamaterials and Nanophotonics. The goal of the Workshop is to provide place for the discussion of the current research activities in a scope of the conference topics which are held in Russian Federation. During the Workshop there will be also discussed future activities and international collaborations aimed to establish long-term and susitanable scientific cooperation among research groups in the field of Nanophotonics and Metamaterials. Collaboration plan and strategies will be drafted.
The Workshop will be organised in St. Petersburg, Russia on 23-24 of December 2017.
Seminar Chair: Prof. Pavel Belov. Scientific Secretary: Dr. Mikhail Odit.
Technical partner of the Workshop and co-organiser is LLC "Academy".

The conference venue will be located at Far Eastern Federal University, which the best classical university in Eastern Russia originating from 1899. Modern campus of the University is located on the Russkiy Island offering comfortable work and leisure with beautiful sea views. The Far Eastern Federal University is (FEFU) located in Vladivostok, "Russia's San Francisco" , listed among one the world's Top 10 beautiful oceanfront cities.

Since August 8, 2017 travellers from the list of countries can apply for an electronic visa to visit Vladivostok in 4 days at the website of the Consular Department of the Ministry of Foreign Affairs. The valid countries are: Algeria, Bahrain, Brunei, Japan, India, Iran, Qatar, The People's Republic of China, The Democratic People's Republic of Korea, Kuwait, Morocco, Mexico, Oman, Saudi Arabia, Singapore, Tunisia, Turkey, The United Arab Emirates.

Please note that we only consider visa invitations for those participants who have submitted their papers abstracts (paper upload) and have paid registration fee.

A foreigner traveling to Russia should have a valid passport (expiry date should be no earlier than 6 months after the date of visitor's departure from Russia) and an appropriate visa (for almost all foreign visitors). The deadline for the Business Visa support from the conference organizers is June 30, 2017.

The visa application rules are different for different types of visas and also depend on country of residence of the applicant:

I. VISA-free entry:

II.I EU-citizens (except for citizens of Denmark, the UK and Ireland)

To get a visa, a visitor has to submit to a Russian Embassy or Consulate an official letter of invitation issued by ITMO University- VISA INVITATION DOCUMENT.

Each participant (and accompanying person) will timely get such a Letter if he (she) ticks this option and fills in the data for the visa support letter and uploads a copy of the pages of a passport with photo in the personal account.

Please, apply for a visa as soon as possible after receiving the invitation to ensure that the visa is issued timely. Please note that the process of issuing the official letter of invitation by ITMO University takes about 5 working days. The invitation letter from The Ministry of Foreign Affairs of the Russian Federation could take 3 weeks of more.

II.II NON-EU CITIZENS (and citizens of Denmark, the UK and Ireland)

To get a visa, a visitor has to submit to a Russian Embassy or Consulate “an official letter of invitation from the hosting organization registered with either the Russian Ministry of the Interior with its local offices or the Russian Foreign Ministry with its regional representatives”, i.e. issued by the Federal Migration Service- VISA INVITATION DOCUMENT.

Each participant (and accompanying person) will timely get such a Letter if he (she) ticks this option and fills in the data for the visa support letter and uploads a copy of the pages of a passport with photo in the personal account.

Please, apply for a visa as soon as possible after receiving the invitation to ensure that the visa is issued timely. Please note that the process of issuing the official letter of invitation by Federal Migration Service takes about 3 weeks.

For getting VISA INVITATION DOCUMENT please complete the following steps:

• Prepare a scanned copy of two adjacent pages of your passport which contain your photo, passport number and expiration date. Recommended resolution is 150–300 dpi; file formats: jpg, jpeg, gif, png, tif, tiff, pdf. Please note that size of the uploaded file must not exceed 16Mb.

Extra documents:

  • Copy of Marriage Certificate (in a case of spouse being accompanying person)
  • Copy of Residence (in a case of living outside the Country of Nationality)

• Attach the scanned copy when registering through the form.

• Repeat the above steps for all accompanying persons (please DO NOT omit affiliation, position, address and fax of the institution FOR EMPLOYED, STUDENTS and PUPILS).

• Wait for the response from Organizing Committee

The same information is required for each of accompanying person.

Please, also check that yours and your accompanying persons' medical insurance is valid in Russia.
